Automatic creation and sending of invoices

Invoices in Toscana are not typed but are automatically generated from the project. After all production phases are finished, the project status changes to delivered, and it automatically appears on the list “to be invoiced.” All projects whose production is completed and are waiting to be invoiced will appear on this list so your employees in accounting do not have to double-check what bills they need to send. Before you create an invoice, the system will show the final calculation of the project, where you can see the exact usage of materials and production time. In the calculation, you can also find a comparison between estimated and actual costs incurred in production. After you review the report, the system will generate an invoice together with all the data from the customer’s ticket, such as the deferment of payment, discounts, etc. You can further save the invoice in PDF format or send it directly to the customer.

Overview of all invoices

Toscana enables an overview of all incoming and outgoing invoices and their closing through the bank statements. In the client’s financial ticket, you can find data on the total turnover that the client made, an overview of all invoices, and all unpaid bills. You can automatically send a reminder for unpaid bills from that ticket without even opening your email account.

Integration with accounting software

Toscana is not accounting software, so it is impossible to make balance sheets, tax calculations, salaries, etc., in our system. For this reason, we have enabled integration with accounting software through API or simple data export. This way, only necessary information has to be transferred to accounting.

The data is transferred automatically, so it does not have to be retyped. We have made integrations with some of the most famous accounting software for which we have already prepared exports in various forms.

Review of debtors

Using this functionality, you can see in one table all clients who owe you money and in what amounts, that is, what bills they did not pay. From this table, you can automatically send reminders for unpaid bills, and the system will record when the last reminder was sent.

Travel order

For all employees that work in the field, for example, assembling the billboards, we have enabled the generation of travel orders through mobile phones. The entered order will immediately be visible in administration so you can change it if necessary, and the changes will be visible to anyone involved.

Bank statements

You can download a statement from your bank application and upload it directly to Toscana. The system will recognize using several different parameters to what project or account the payment is related to and will automatically close them after you confirm that everything is correct.

Employee time tracking

In Toscana, you can track working time in two ways. The first enables tracking employees in production, that is, their efficiency in completing work orders. The second records the working time of all employees, vacations, sick leave, and similar. Based on the collected data, the system generates a report that can be used in accounting (for salary calculations, etc.).
